MICROSOFT 365 INTEGRATION
Joan Workplace + Microsoft 365 integration
Joan connects to Microsoft 365 and pulls room availability into the tools your team already uses. Book a meeting room from Outlook, see live status on the display outside the door, release unused rooms from the panel. All synced to your Microsoft 365 calendar — automatically.
What you can do with Joan and Microsoft 365
Here’s what the integration covers — what your team can actually do once Joan is connected to your Microsoft 365 tenant.

Book rooms directly from Outlook
When creating a meeting, your team adds a room straight from Outlook — on desktop, web, or mobile. Joan reads Exchange Online in real time. Book in Outlook, it shows on Joan; book on Joan, it shows in Outlook.

Browse and book from a live office floorplan
Through the Joan web app and mobile app, employees can see the full office layout, pick an available room or desk, and book it — all synced back to Exchange Online automatically.

See live room status on displays outside rooms
Joan displays mounted outside meeting rooms pull directly from Exchange Online — showing what’s booked, what’s free, and when the next event starts. Works on Joan hardware or any screen you already have.

Book a room right from the device outside the door
No phone, no app needed. Employees can walk up to any Joan display, check availability, and book the room on the spot — it syncs to Exchange Online immediately.

Book on the go from the Joan mobile app
The Joan mobile app connects to your Microsoft 365 account. Employees can find and book rooms and desks from anywhere — before they arrive in the office or on the way to a meeting.

Changes in Outlook update everything instantly
Cancel or shorten a meeting in Outlook — the room is released automatically. The display outside the room updates immediately, and the slot becomes bookable again in seconds.

Frequently asked questions
Does Joan work with Microsoft 365?
Yes. Joan integrates directly with Microsoft 365 via Exchange Online. Your IT admin connects Joan to your tenant by granting a service account delegate access to your room mailboxes — no third-party middleware or additional software required.
Which Microsoft 365 plans are compatible with Joan?
Any plan that includes Exchange Online — Business Basic, Business Standard, Business Premium, and all Enterprise plans (E1, E3, E5). If your organisation uses Exchange Online for email and calendar, Joan can connect to it.
Do we need a special Microsoft 365 account for Joan?
Joan requires a licensed user account (a service account) with delegate access to your room mailboxes. A Global Admin or Exchange Admin grants this via admin.microsoft.com. The account doesn’t need to be assigned to a real person.
Why are meeting titles not showing on Joan room displays?
Exchange Online hides meeting subjects on room displays by default for privacy. Run this PowerShell command to fix it: Set-CalendarProcessing -Identity “RoomMailbox” -AddOrganizerToSubject $true -DeleteSubject $false. After that, the meeting title appears on every Joan panel as expected.
Can employees book rooms directly from Outlook?
Yes — from the moment Joan is connected, your team books rooms the same way they always have, inside Outlook. Select a time, pick a room from the room finder, and send the invite. Joan displays update instantly.
Does Joan work with Microsoft Teams meetings?
Joan connects via Exchange Online, which is the calendar backbone for both Outlook and Teams. Teams meetings that include a room booking show up on Joan displays exactly like any Outlook invite — no extra configuration needed.
Can we use Joan with on-premises Exchange instead of Exchange Online?
Joan currently requires Exchange Online (cloud-hosted). If your organisation runs a hybrid Exchange setup, Joan can connect to the Exchange Online side of your room mailboxes.
How long does the Microsoft 365 setup take?
For most organisations, the IT setup — granting delegate access and running the PowerShell command — takes under 30 minutes. Room displays start showing live calendar data as soon as they’re paired.
Does Joan store our Microsoft 365 calendar data?
Joan reads calendar data from Exchange Online to show room availability and process bookings. All booking data is written back to Exchange Online in real time. Joan does not permanently store your organisation’s calendar content on our servers.
What Microsoft 365 admin permissions are needed to set up Joan?
You need a Global Admin or Exchange Admin account to grant Joan delegate access to room mailboxes, and to run the Set-CalendarProcessing PowerShell command. Day-to-day, Joan operates under the service account permissions only — no ongoing admin access required.
