Security and data protection

Joan stores usernames and passwords encrypted, never shares or sells your data, and secures communication between devices, MyJoan and your calendar against unauthorized access.

We take your privacy very seriously and take appropriate security measures to protect against unauthorized access, disclosure, alteration, or destruction of data.

The Visionect Software Suite hosts Joan devices in the cloud and partially manages on-premises devices. It enables user access to the MyJoan account, which is additionally safeguarded to secure device settings and protect from unauthorized access. User information, such as usernames and passwords, are stored in our database in encrypted form for added security. No worries, no information is or will be shared or sold to third parties.

Communication between Joan devices, the MyJoan account, and the online calendar is managed through official, standard calendar APIs and authentications with access granted and certain credentials stored in encrypted form for certain calendars.

What calendar and event data does Joan store?

When your rooms are connected to Google Workspace, Microsoft 365, Microsoft Exchange or iCalendar, Joan synchronizes the room calendar events to Joan's secure, EU-based infrastructure. We use this data to power room booking across Joan apps and devices and to provide Joan Analytics.

What we store: the event title and description, start and end time, time zone, status, visibility, conference link, and the names, email addresses and response status of the organizer and attendees.

  • Synchronization window: events are synchronized for the next three months and kept up to date continuously.
  • Security: data is encrypted in transit and at rest. Calendar credentials are stored in encrypted form.
  • Retention and deletion: synchronized calendar data is kept while you use the service, for room booking and analytics. You can request deletion of your calendar data at any time by contacting support@getjoan.com. When an account is terminated, customer data is removed in accordance with our data retention policy and applicable legal requirements.
  • On Joan devices: devices access calendar data only when needed and cache it temporarily in memory. It is never permanently stored on the device.
