By integrating Joan Desk & Asset booking system with Zens devices, you can provide your employees with a streamlined way to monitor and manage desk occupancy in real-time. The Zens device visually indicates desk availability with a color-coded light:
- Green Light: Desk is unoccupied.
- Orange light: The desk is reserved for the day, waiting to be checked in
- Red Light: Desk is occupied.
- Blue light: Indicates that this workspace has been used today and needs cleaning
- Green blinking: Suggests taking a mini break to re-energize and switch up your stance
Each Zens device* features a sensor that detects desk occupancy. This allows us to determine whether someone is present at a desk.
*The integration was made primarily for the ZETCO7N/00_IOT02/VF PUK model.
Here’s how it works:
- When someone sits down:
- If there is an existing desk reservation (indicated by an orange light), the system automatically checks the person in.
- If no reservation exists (indicated by a green light), the desk is automatically reserved for an 8-hour period (configurable). The desk status is updated to "occupied" on the floor plan, and the device light changes to red.
- When someone leaves the desk:
- If the desk remains unoccupied for more than 2 hours (configurable), the reservation is released, and the device light reverts to green.
To successfully integrate the Zens device with the desk booking system, please follow these steps:
- Gather the necessary information and reach out to our team at support@getjoan.com:
Floor plan: Obtain the floor plan name used in the Joan booking system, you can find this in my.getjoan.com under Settings -> **Floor plan**
Collect the PuK Desk ID for each Zens device you want to integrate. You can find this in the Zens portal. - Authorize the integration with Zens
Contact the Zens support team at smart@zens.tech to enable the integration for your account
After the integration is enabled by our support team, the desk booking system will automatically display real-time occupancy status across your office floor plan. Each Zens device will seamlessly update to show green when available orange when waiting for check-in, and red when occupied, allowing for efficient workspace management.
