Joan Platform Subscription Model – FAQ

All Joan customers will begin transitioning to our new all-inclusive workplace platform. This change brings all Joan solutions into one unified offering to simplify workplace management and provide better long-term value.

Why is Joan changing its business model?

We’re evolving from standalone solutions to a unified platform model that includes:

  • Room booking
  • Desk booking
  • Parking and asset reservation
  • Visitor management
  • Workplace digital signage
  • Advanced analytics

This simplifies workplace management and ensures all customers always have access to the full Joan portfolio, which positively affects their workplace experience.

When will the change happen?

Joan customers will start receiving notifications at least 30 days before their subscription renewal.

What happens to existing customers?

Existing customers will retain their current plan until renewal. At the time of renewal:

  • They will be migrated to a platform subscription plan that best fits their current usage (devices, users).
  • All standalone solutions will be discontinued.

For customers with multi-year contracts, they will be moved to the new subscription model while retaining the original pricing until their current term ends.

Which subscription plan will be activated for the existing and for the new customers?

  • If you’re on a trial subscription, the plan that will be activated at the end of the trial will reflect your actual usage, specifically, the number of paired devices and active user accounts at the time the trial ends.
    Review and confirm the plan in the myJoan portal under Plans & Billing.
  • If you’re currently on standalone subscriptions that are being transitioned to a platform subscription, the system will automatically assign you the appropriate plan upon renewal. This will be based on the number of paired devices and active users in your account. For full details, please refer to our pricing page.

Will resellers continue to offer the old plans?

  • Resellers will only offer Platform subscription plans.
  • Standalone solutions (e.g., Room Booking only) will no longer be available.

What if a customer only uses one solution, like Desk or Visitor Management?

All customers will gain access to the full platform regardless of what they currently use.

Will customers need to pay for every registered user?

Only active users count toward licensing.
An active user is someone who signs into the MyJoan web or mobile app and interacts with the system.

Users who are only added as hosts for visits do not need a license.

Are there any limits per subscription tier?

Yes. Each subscription tier (Team, Business, Organization, Enterprise+) includes a set number of active users and devices. For more information, please visit our pricing page.

What counts as a licensed device?

Any connected display tablet, including:

  • Joan devices
  • iPads
  • Android tablets used for room, desk, visitor, or signage displays.

How is my plan adjusted during the trial if my usage changes?

  • If the number of paired devices or created users exceeds the selected tier during the trial, your subscription will automatically be adjusted to the appropriate plan when the trial ends.
  • Customers can reduce licenses during the trial period.

Can partner-managed customers exceed their limits mid-term?

Yes. They can redeem additional pre-paid codes to add more licenses.
